Units are the properties you manage within a group. Learn how to add, organize, and manage your units effectively.
What is a Unit?
A unit represents any billable property:
- Apartments or condos
- Houses
- Parking spots
- Storage units
- Commercial spaces
Adding Units
Single Unit
- Navigate to your group
- Click "Add Unit"
- Enter the Name/Number (e.g., "Apt 101" or "Unit A") and Save
- To add stakeholders (Owner, Tenant, Responsible), tags, or change the unit name, click the "Edit" button (pencil icon) next to the unit name at the top of the unit page.
Units Wizard (Recommended for Buildings)
The Create Units Wizard is the fastest way to set up an apartment building or complex:
- Go to Units → New Wizard
- Define the building structure:
- Number of floors
- Units per floor
- Unit naming pattern (e.g., "Apt 101", "1A")
- Add common areas (parking, storage, etc.)
- Review and create
Benefits:
- Creates all units at once
- Automatically assigns a relevant tag: Staircase tag
- Consistent naming convention
- Quick setup for large buildings
Import CSV
The CSV import tool can both create new units and update existing units with stakeholder information.
Download Template: units-import-template.csv
CSV Columns: | Column | Description | |--------|-------------| | Unit Name | Required. Must match exactly for updates. | | Owner Email | Property owner's email (optional) | | Tenant Email | Current tenant's email (optional) | | Responsible Email | Person who pays invoices (optional) |
How It Works:
- If the unit name doesn't exist → Creates a new unit
- If the unit name already exists → Updates the unit with the stakeholder emails
Recommended Workflow:
- Use the Units Wizard to create all units quickly
- Prepare your CSV with unit names (matching exactly) and stakeholder emails
- Import the CSV to assign stakeholders to all units at once
Tip: Many managers already have unit and stakeholder data in Excel. Simply export as CSV and import into Bohios!
Organizing with Tags
Tags help you categorize and filter units:
- Go to Tags in your group menu
- Create tags like "Floor 1", "Parking", "Commercial"
- Assign tags to units when editing
- Filter units by tag on the units page
Note: The Units Wizard automatically creates and assigns floor tags.
Unit Balance
Each unit tracks a running balance:
- Positive balance = Credit (overpayment)
- Negative balance = Debt (unpaid invoices)
- Zero = All paid up
Stakeholder Roles
The three roles (Owner, Tenant, Responsible) are primarily organizational labels to help you track who is associated with each unit:
- Owner - The property owner
- Tenant - The current occupant
- Responsible - The person who should pay invoices
Note: All stakeholders can view the unit's invoices and payment history. The main difference is how you organize and communicate with them.
